Care Agreement

The current Family Child Care Licensing Rule requires some specific materials to be included in my contract and handbook. This specific material needs to be shared with a Child’s Parents/Legal Guardians upon registration to receive child care through Country Fun Child Care.

Country Fun Child Care’s Care Agreement, has been divided into 3 sections:

  • Contractual Packet: a legal document that spells out the services provided by Country Fun Child Care in exchange for monetary fee paid by the responsible parent/legal guardian. Any change to a written contract must be in writing and signed by both parties. Country Fun Child Care’s Contractual Packet includes all the signed forms that will be maintained as part of each child’s record/file.
  • Policy Handbook: contains all the policies/procedures for how Country Fun Child Care will operate (such as: illness management, mandated reporter, behavior guidance). For any change in Country Fun Child Care’s policies a Child’s Parents/Legal Guardians will receive notification. This notification may not be by written notice or require signatures. Reports required for illness and medication incident are added to a child’s file upon completion and with Parents/Legal Guardians’ signature.
  • Emergency/Disaster Response Plan: explanation of Country Fun Child Care will handle natural disasters and human-caused events, including but not limited to, fire drills.
Country Fun Child Care’s Care Agreement contains the entire agreement and understanding between myself as the owner/provider and a child’s parents/legal guardians as to the services of child care provided by Country Fun Child Care.

The invalidity or unenforceability of any provision of this Care Agreement shall not affect the other provisions hereof, and this Agreement shall be construed in all respects as if any such invalid or unenforceable provision were omitted.

No right under this Care Agreement shall be waived (lost) merely by delaying or failing to exercise it. Consent to one act shall not be considered consent to any other or subsequent acts. Any waiver of a default under this Agreement must be in writing and shall not be a waiver of any other default concerning the same or any other provisions of this Agreement.

During the course of your association with Country Fun Child Care you may see and hear things about other children or the child care’s business. Such information is confidential, protected by privacy laws and must be treated as strictly confidential.

Confidential information may not be released without a court order or a written release from the Child’s Parents/Legal Guardians about whom the confidential information has been requested, except where the FCC Licensing Rule requires release to the Department or it’s agents. A Child’s Parents/Legal Guardians may review any records kept on their child by Country Fun Child Care. Records will be maintained for 3 years following a child’s discontinuation of care.

I have secured written permission for myself to take/or not take likenesses of children attending Country Fun Child Care. That permission does not extend to anyone other than myself and can only be used for stated purposes. Any individual other than myself are not allowed to take photos and recordings on my premises, as defined in the current FCC Licensing Rule, or on any off premises field trips during business hours without prior written permission of myself in my role as provider.

Child’s Parents/Legal guardians understand and acknowledge that, under Maine law, Country Fun Child Care may modify this Care Agreement whenever circumstances covered in this Care Agreement change, provided that any such modification shall be in writing and shall be signed and dated by Child’s Parents/Legal Guardians and myself as provider, and provided further that:

Program Offered

Country Fun Child Care admits children 6 weeks of age to 12 years old, without regard to gender, race, ethnic origin or disability into it’s program while being responsive to individual learning needs and interests. All activities at the child care are made available to children with appropriate modifications as needed. Country Fun Child Care does not discriminate in the administration of its education or admissions policies. Country Fun Child Care is licensed to provide care for up to 8 children complying with capacity ratios as outlined in the Family Cild Care Licensing Rule.

In the Mixed Ages Program offered at Country Fun Child Care, children are able to make friends across a variety of ages and interact with children at different developmental levels. Mixed Age programs provide a good variety of different contact patterns and group feelings. The stability of the group increases as children are together over multiple years. Continuity of care supports the development of trust and feelings of security for both children and their families. Siblings are able to be together. The older children provide good role models for social and language skills. Older children learn responsibility.

Country Fun Child Care does not offer a structured curriculum. Learning here is play-based and as child-directed as possible. Projects done during our days are developed around the interests and skill levels of the children participating. Kindergarten Readiness and Educational Guidelines developed by the local school system and the State of Maine covering infants through school age are used in the development of projects and lessons. Physical activity is an important part of our play. Weather permitting this active play will take place outside walking, running, climbing, biking, snowshoeing, etc. If weather does not allow for outside play indoor activities such yoga, dancing or other movement games, provide the opportunity to be active.

Although there is daily discussion between myself and a child’s parents/legal guardians regarding each child’s experiences at home and during our day, I am always willing to set up a time for a more formal/private conversation to discuss any concerns.

Daily written notices are not provided unless requested by the child’s parents/legal guardians. A child’s parents/legal guardians may provide a template of a form with the information they would like to have completed daily for them.

A Child’s parents/legal guardians may visit Country Fun Child Care at any time while their child is in attendance.

Operation and Fee Schedule (school year only)
Hours of Operation: 7:30 am to 5:00 pm Monday – Friday
All children are to be picked-up by 5:00 p.m., unless special arrangements have been made with the provider or supervising staff.

Care is provided following the current local school’s calendar. Child care is only available on days schools are open. Care will also be available for limited time before the school year starts and ends to support the need of teachers to open or close their classroom.

LATE PICK-UP CHARGES ~ Each day a child is picked-up at Country Fun Child Care later than the scheduled pick-up time as provided for in this Care Agreement, the Child’s parents/legal guardians may be assessed an overtime fee of $20.00 for the first 5 minutes, with an increase of $5 for each 5 minutes after the scheduled pick-up time. If a child is picked up late more than 3 times in a 2 week period, Country Fun Child Care may terminate the contract for care in accordance with the terms of this Care Agreement.

WEEKLY FEES COLLECTION ~ The care fee/rate reserves your child’s slot for the week. You are purchasing a “slot” as opposed to paying for the hours of care actually received, so you have a guaranteed place for your child. As a small business with set expenses, Country Fun Child Care is dependent upon a weekly anticipated income. Payment will be made, at minimum, on Friday prior to the week of care. Payment forms accepted: cash, check, venmo or debit/credit card. Checks should be made payable directly me, the provider.

Late payment charge of $5 per day may be charged.

Bounced checks will require immediate repayment in cash and an additional fee of $40 for service charges and inconvenience. Two bounced checks will be cause for all future payments to be in cash only.

For families with child care/dependent accounts I am happy to complete whatever forms are required.

Rates cover:

  • availability of a care slot, not hours of direct care
  • morning and afternoon snacks within the program
  • nutritious lunch
  • sun lotion
  • general supplies/maintenance
  • toys and equipment
  • my salary
  • 5 personal/health/educational days / Notice will be provided as early as possible. For illness, notification will be by 6 am on the day closing. To alleviate the need for full day closures and usage of these 5 days, whenever possible closure will be early morning or late afternoon, which will require just a slight change for drop-off or pick-up.
  • posted Holidays (excluding full school vacation weeks where no fee is charged)

Different rates for children not attending school, school age and a sibling discount are offered for full-time care slots. All fee adjustments are listed on the Country Fun Child Care financial agreement between provider and child’s parents/legal guardians.

30 hours/week or more will be charged at the full-time weekly rate. Part-time daily rates (20 – 29 hrs) are available as slots allow. Country Fun Child Care does not have non-school-age care slots for less than 20 hrs per week.

SUSPENSION AND TERMINATION FOR LATE PAYMENT ~ If Country Fun Child Care has not received payment for the contracted weekly fee by Friday of the week prior to care, Country Fun Child Care may refuse to admit child(ren) for care each day until parents/legal guardians pay the Overdue Payment in full.

Recurring late payment may also result in immediate termination of contract.

Discontinuation Of Child Care Services

Country Fun Child Care reserves the right to discontinue care if it is in the best interest of the child and/or the facility upon reasonable notice to child’s parents/legal guardians.

A two (2) week notice will be given by Country Fun Child Care if care services need to be stopped, except where immediate termination is outlined within this agreement. If served a notice for stoppage of care, the normal fee needs to be paid up front for care to be continued over the two week notice period. Without this payment care stops immediately.

A two (2) week notice is required from a child’s parents/legal guardian if care needs change. Payment is to be made in full in advance of the two weeks of care being provided. Payment is required for these two weeks, even if services are not provided, unless mutually agreed to by Country Fun Child Care and child’s parents/legal guardian.

Personal Days/Holidays/Educational Days
The fee charges agreed to in the financial agreement cover payment for the holidays listed under the Vacation Dates posting on this website.  Child’s parents/legal guardians will be reminded monthly of upcoming days of closure.

  • Five (5) paid personal days/health/education days are also figured in as part of my vacation/holiday benefit.

Notice for personal/educational days will be provided verbally and in writing at least two (2) weeks prior to each specific date. For a sick day, notification will be provided as early as possible.

Personal/health/educational days are considered paid, in that the normal fee will not change for full-time clients. For part-time clients there will also be no fee change if they switch days of care for that week. If due to staff/child ratios a switch is not possible, fee will be adjusted. If unexpectedly, I needed any additional personal days, all fees would be adjusted accordingly for any affected week.

If you take vacation during normal care weeks the normal fee is still due. Remember the fee covers the slot and I am open and available for care. Payment for your vacation weeks is due before you go on vacation. Checks may be post dated, corresponding to when payment is due, to help with your budgeting. If payment is not remitted on time, Country Fun has the option to deny care until payment is received in accordance with the terms of this Care Agreement.

Back-up care for my personal/health/educational days or any emergency that may arise is up to each child’s parents/legal guardians to make arrangements for.

There will also be availability of additional coverage for limited time both before a new school year starts and following end of school. The time will be paid for at the contracted rate or adjusted to a special daily rate. Arrangement is made on an individual basis.

Family Volunteers
With work and family schedules, volunteering is not expected or necessary. At the same time, a child’s parents/legal guardians are welcome to visit at any time. If they have a special interest and would like to share that with the group, special time can be arranged for that to occur.
A child’s parents/legal guardians may also send special healthy celebration treats from home to share among the group in celebration of special days, with prior discussion with Country Fun Child Care. Please remember no candy or sugary drinks are allowed and all food allergies will need to be considered.

**Country Fun Child Care will follow directives around any local health outbreak. No individuals of the public are allowed to enter the facility during a health outbreak. Accommodations will be made for drop-off and pick-up.
